Recurring report slides – create modern status overviews effectively and in a time-saving manner

Regularly recurring reports are a lot of work and often boring. Presentations full of dry numbers and facts offer little variety for the audience, and seeing the same structure over and over again doesn't excite anyone.
To save time and still make your reports exciting, the following solution is recommended:

  • Create an attractive set of slides and enter different content into this prototype month by month or week by week. This way, you don't have to worry about layout and formatting each time!
  • By skillfully using effective visual means, you arouse the interest of your audience: images and graphics underline important key messages, and the viewer recognizes exactly what it's about thanks to the meaningful images.
  • The latest content is always presented in a visually appealing way. Information, text, and graphics are distributed across four rectangles, making it easier for the viewer to navigate and creating a clearer presentation.


Pre-prepared report slides in this way offer several advantages for you and your audience:

  • Important information is presented in an excellent way.
  • The use of images attracts the viewer's attention. Hardly any other medium captures the audience's gaze so efficiently.
  • The different colors of the rectangles allow you to direct the viewer's eye to what is most important to you. This way, you can highlight certain content in a positive light.

The following structure is recommended for building your prototype:

  • In the top left corner, you display a pictogram that reflects the current topic and shows what it's about. This is particularly helpful when several slides cover the same topic, allowing your audience to immediately grasp the content from the pictogram. This makes it easier for your viewers to follow along during your presentation.

  • In the upper right corner, you formulate the topic of the slide, for example in the form of a question or key information that you consider particularly important.
  • In the bottom left corner, you have space for additional information such as facts, figures, comments, or ratings.
  • Important information such as deadlines, goals, tasks, or responsibilities can be found in the bottom right corner. You can also use easily recognizable symbols here to clearly indicate the status of each element at a glance.

For example, you can present your content in a tile structure:

  • Draw four rectangles using the shapes in the Insert & Shapes tab. Arrange them according to your needs, for example as shown in the illustration below.
  • Color the rectangles as needed and according to your taste. To do this, click on the desired rectangle and select "Fill Effect " and "Shape Outline" from the menu at the top.
  • Finally, add text and pictograms and/or icons.
