You may be familiar with this scenario: You're giving a presentation or planning to attend one yourself. But then you or some members of your invited audience become ill. Especially during a pandemic, such situations are not uncommon.
Instead of missing this presentation, you might want to know what it's about and what will be discussed. For this purpose, there's a new, improved feature in Microsoft 365: PowerPoint screen recording.
PowerPoint screen recording - what is it?
Microsoft Office PowerPoint offers the option to record your screen with audio. This recording can be saved as a separate file or embedded in a slide. This method is particularly useful for clearly demonstrating content or showing work processes.
This way, their audience can see what needs to be done from home, instead of having to imagine these steps or go through them themselves afterwards.
Requirements for screen recording
Even though you don't need a wide range of equipment for screen recording, we would like to briefly introduce what you do need.
To record your PowerPoint screen, you need a sound card, a microphone, and sufficient storage space on the target drive. Speakers are also required for audio playback. No software other than PowerPoint is needed.
With the new Microsoft 365 "Record" feature, you can also record videos and thus document your own online presence. This requires either a camera integrated into your laptop or tablet , or an externally connected camera .
Instructions for PowerPoint screen recording
To create a screen recording of your PowerPoint presentation , you have two different options:
#1: First, open the slide on which you want to start the screen recording.
#2: In the upper right corner of the menu, under the "Insert" tab, you should find a field with the "Record" option.

#3: In the next step, a new tab called "Record" will open. This tab is new and summarizes all the options for recording a presentation.

The second option for recording a screen works as follows:
#1: On the "Insert" tab, click "Screen Recording".
#2: You can now record either the entire screen or a screen area.
- To record the entire screen, press the following key combination: Windows key + Shift key + F.
- To select an area, press the Windows key + Shift key + A. A crosshair cursor will now appear, which can be used to mark the desired area.
#3: Now click on "Record" and record your presentation. After you have finished recording, save it via "File" and "Save".
Screen recording in PowerPoint for Mac
Mac users (Apple) also have the screen recording function. The steps differ slightly from those on Windows. We'll explain how to record a presentation in PowerPoint for Mac :
#1: Open your PowerPoint presentation and select "Slide Show" from the Mac menu for PowerPoint.
#2: Then, select the "Record slideshow" option from the drop-down menu.
#3: A view will then open where you can see the current slide as well as the following slides of your presentation. Above the slides, you will find a red record button , as well as the options to turn your camera and microphone on or off.
#4: Pressing the red button starts your recording and you can record both audio and video.

Alternatively: Voiceover
As an alternative to screen recording, which captures both video and audio, you can also create presentations with voiceover files . This allows your audience to listen to an audio file that accompanies each slide. You can find detailed instructions on how to record these audio files and further information in our article on "Voiceover" .
Screen recording: These are your advantages
The PowerPoint screen recording function offers several advantages:
#1: Presentations accessible from anywhere: Whether on vacation or at home, recorded lectures can be viewed anytime, anywhere in the world. This argument has gained particular importance during the Covid-19 pandemic.
#2: Suitable for universities and schools: This argument is also significant from a pandemic perspective. Distance learning and sick students, university students, and teachers have resulted in a significant amount of canceled classes in recent years. PowerPoint presentations allow even those in quarantine to be reached.
#3: Video file instead of a large PDF document: Instead of sending your audience a lengthy PDF document after the presentation, you can send a simple video file thanks to screen recording. This allows viewers to relive your presentation with all its passion and personality, even after the fact.
Conclusion: PowerPoint screen recording with Microsoft 365
PowerPoint screen recordings are recommended not only to save on the use of large PDF files. They can also help attendees catch up in case of illness or if invited guests miss the presentation.
