|Tom Schweitzer

Using images or videos in Microsoft Office PowerPoint can result in a very large presentation file. To keep the file size under control, you can compress the various media in your presentation, such as PowerPoint images.

We recommend that you create a backup copy of your presentation before compression, as the changes will be permanently saved and closed when you save the new file.

There are several ways to compress the graphics in your presentation, which we will show you step by step today. The fastest option is to save the file with automatic compression of all the images it contains.

Reduce the size of a PowerPoint file: Compress all PowerPoint images

To compress your PowerPoint images, you have several options, which we will show you shortly. Please note that compression during the editing process can result in a loss of image quality. We will also show you how to avoid this.

And here's how it works with just a few clicks:

  • Click on the "File" tab in the selection bar at the top.
  • Select "Save as" .
  • On the page that opens, click on "Browse" .
  • In the new window, you will find the "Tools" button at the bottom. Click on it and select "Compress images" from the drop-down menu that opens.

Compress PowerPoint images: Reduce the size of individual images

Sometimes, only the size of individual graphics causes problems, or you might not want to compromise on a particularly high resolution for certain images. In this case, PowerPoint offers another option that allows you to specify the size and quality of individual graphics.

  • Click on the relevant graphic in your presentation.
  • The new "Image Format" section appears in the top menu bar. Open it.
  • Under the "Customize" tab, select the "Compress images" option.

Compressing video files in PowerPoint

If you've included a video in your presentation, this can also result in a very large file size. Compression can be worthwhile here as well.

Please note that audio tracks or embedded subtitles may be lost during this process. Therefore, you should always double-check your presentation after compression.

To compress video files in your presentation:

  • Click on “File” .
  • In the "Information" section, select "Compress media" in the "Media size and performance" area (this area is only visible if there is a video file in the presentation).
  • Here you can adjust the video quality and therefore the required storage space.

Compress file size: Clean up PowerPoint master

If your presentation is still too large after compressing the media files, please check your PowerPoint master. It's not uncommon for the master to be accidentally duplicated when copying slides , or for other presentations' masters to be copied along with the slides . This can result in even a presentation file without a master copy being corrupted. The foils can become very large.

To resolve this issue, simply delete all unnecessary master layouts in your file . You can find the master layouts by selecting " Slide Masters " in the "Master Views" section under the "View" tab. All active slide masters will be displayed on the left side of the screen. Select the masters you wish to delete and remove them using the "Delete" key on your keyboard.
