When preparing your presentation, you should always keep your audience in mind. To reach them and achieve your presentation goals, you should focus on answering the so-called "W-questions" (who, what, when, where, why, how).

The 5 W-questions

You should answer the following questions (W-questions) as part of your presentation preparation. Write the questions down on a piece of paper and answer them in detail.

Even though this takes more time and you don't answer the questions directly in PowerPoint in writing, this method will help you afterwards to avoid filling the entire slide with a text answer, but only to note the most important points of the answer.

1. Why?

This question depends on the purpose of your presentation . The following sub-questions fall into this category:

2. What?

This question concerns the content of your presentation . Please answer the following points:

  • What content do you want to convey?
  • Which of these points are relevant and effective for your audience?

3. Who?

Is the presentation already prepared or has it been put together for you? Excellent. Now you need to find out who will give the presentation .

  • Who will give the presentation ? (Someone from the executive board/management/sales?)
  • Is the presentation tailored to this person?
  • Does the person have enough information to deliver the presentation effectively and answer questions?

4. How?

To achieve your goals and communicate information correctly to your audience, this question is rightfully on your preparation list.

  • How do you communicate your information ?
  • What methods do you use?
  • What interactive teaching methods are available? (e.g., questions, animations, videos)

5. Whom?

Now you have answered all the questions concerning your presentation. Think about your audience as well.

  • Who do you want to reach with your presentation ?
  • Do you know your target audience and their wishes, demands, etc.?

Take your time to answer these five questions. Only by answering them precisely can you create a clear and structured presentation that meets your requirements and resonates with your audience.
