Setting standards in PowerPoint: It's that easy!

You are probably familiar with the following scenario: You have spent a lot of time completing your presentation and had to edit every shape and text box individually to make everything look uniform.

And then you notice that the fonts look different on every slide. Editing everything individually would take a lot of time. In this article, we'll show you how to easily set standards in PowerPoint presentations so that this scenario never happens again.


Shapes and text boxes – how to set the defaults in PowerPoint

When you insert new shapes or text boxes onto your slide, they always look the same. This is because PowerPoint automatically sets certain defaults. If you don't change these manually, all inserted shapes will look as defined by PowerPoint.

Once you have edited the form to meet your requirements, you can save these changes and set them as defaults in PowerPoint.

This works as follows:

  • Add a new text box or shape to your slide.
  • Then modify this shape or text box so that the color, font size, and outline thickness meet your expectations.
  • Now right-click on the shape or text box.
  • In the dropdown menu, select the "Set as default" option. The option will adapt depending on the element you are editing (see example image; here we worked with a text box > "Set as default text box". If you were working with a shape, the option would be > "Set as default shape".)

For every text box and shape you insert from now on, the defaults you have selected in PowerPoint will be applied.

You can also apply this tutorial to tables and ensure that all future tables have a consistent look . Simply follow the same steps.


Set the font in your presentation – how to create consistent slides

If you copy elements from different documents while creating your presentation, it can happen that these elements all have different fonts on your slides.

If it's all on the same slide, this problem is easy to fix. You simply select all the text elements and apply the same font, size, and color to them. But what if you want to adjust the font on different slides ?

We will now show you how you can implement this in just a few steps.

  • Open your presentation and go to the "Home" tab.
  • Now select "Replace" on the right and then "Replace font" . A drop-down menu will open where you can see all the fonts used in your PowerPoint presentation.
  • Now select all the fonts you want to replace and choose the font you would like to have on your slides instead.
  • Now confirm your selection by clicking on "Replace" and repeat this step until all fonts on your slides look uniform.
