Use the PowerPoint Slide Master! - Save time and take advantage of its benefits for your PowerPoint presentations.

|Tom Schweitzer

Making changes to PowerPoint presentations after the fact often carries risks: new images or text can disrupt the layout, and new slides from external sources can look out of place. Especially when it comes to color schemes, it's usually difficult to accurately recreate the original specifications freehand.

To make your PowerPoint presentation dynamic and prevent it from being ruined by subsequent changes, you should consider using a slide master. Here we'll show you how to use it correctly.

What is the PowerPoint slide master ?

The slide master (found in PowerPoint under > View > Slide Master) is the foundation and central element of every good presentation. You can think of the PowerPoint slide master as a kind of toolbox that lies in the background of your presentation and contains all the layout rules.

With its help, you can modify or expand presentations as needed without losing the thread and save a lot of time. It helps you maintain a consistent look and quickly create new slides at any time . The advantage for you: you don't have to worry about tedious formatting.

The slide master contains preset formatting and positioning of all important elements. This includes titles, subtitles, text and image placeholders, footers, and logos on the corresponding slide layouts. In short, the slide master in PowerPoint is nothing more than your individual design template.

Elements defined in the master slide cannot be moved or deleted in normal editing mode. This feature is especially helpful when working in a team. Colleagues can create new individual slides or entire presentations in the company's design without the risk of accidentally moving or removing important elements .

You can rest assured that your preferred layout, including settings such as font sizes and types, will be retained. When you open Microsoft PowerPoint and create a new slide in edit mode, you or your colleagues will no longer encounter blank white surfaces, but can immediately select the required layout design and begin creating your content.

You can make changes to the slide master at any time, and these changes will then be applied directly to all slides . This saves you the tedious step of editing each slide individually with the same formatting changes. It also guarantees that all fonts and sizes, color schemes, and the placement of logos or other elements remain identical on every slide. For further details, please refer to our glossary entry for " slide master " .

Your advantages when using a PowerPoint slide master

#1: Focus is on the content

When working with the PowerPoint slide master, you no longer have to worry about one major factor: the visual appearance of your slides. The master layout allows you and your team to focus more on content when designing your presentation.

You don't need to waste time formatting or otherwise adjusting your slides. For all of you as a team, this means fewer formatting errors and more consistent presentations across the entire company.

#2: Increased attention

Not only you, but also I, the audience, benefit from the slide master. It's not just more enjoyable to watch a visually professional presentation; it also appears more convincing and thus builds trust in the audience in a credible way.

#3: Save time and reuse slide masters

By working with professionally designed PowerPoint slide master templates, you can reuse them again and again . This not only saves you time during a presentation, but also allows you to fully concentrate on the content and research for your talk.

The master slide of the PowerPoint slide master

The first slide of your slide master is called the "parent slide" (or master slide) and contains all the fundamental formatting. Changes made to this slide are then applied to all subsequent layout slides in your master, which are called "children".

Therefore, it makes the most sense to define the font and size of your titles, subtitles, footers, and logos on the parent slide. These settings will then be applied to all other layout slides (the child slides).

The individual layout slides can then be customized. Common layout slides include title slides, divider slides, comparison slides, slides with different text-image combinations, image-only slides, slides with list formatting, chart slides, and many more.

PowerPoint slide master - identify master slide

Of course, there are countless options for designing layout slides – far more than those offered by Microsoft PowerPoint. While these are helpful, it's likely that the templates won't perfectly match your company's specific requirements, especially if you want to use particular design elements, corporate identity colors, or other similarly customized details.

By using a master template tailored to your company, you establish a predefined standard for new presentations. This standard significantly influences your company's public image.

How to use the PowerPoint slide master? - The professional guide

In the slide master, you can map custom grids and align elements at specific intervals . A well-defined slide master with subordinate slide layouts is not a set of slides with haphazardly arranged placeholders.

It is, rather, a well-thought-out construct of relevant layouts and rules: Defined margins form the framework for your content. The spacing between individual objects on the slide (e.g., images, headings) ensures a consistently clean and professional look.

When we, as an agency, create such a PowerPoint slide master for our clients, we also select colors or adopt the colors of the respective corporate identity (CI). This means that you, as the client, can immediately access the predefined color palette if you want to adjust the colors of fonts or objects.

We have created these as a standard to match your company colors. Below you will find step-by-step instructions for the correct use of the PowerPoint slide master.

Creating and editing a PowerPoint slide master

  1. Open the desired presentation in Microsoft PowerPoint.
  2. Click on the "View" tab in the navigation bar at the top.

How to insert a PowerPoint slide master

3. Click on "Slide Master" . PowerPoint will then switch to the Slide Master view. In this master view, you will see all the associated slide layouts in the navigation bar on the left.

4. Directly above the navigation bar, click the "Insert Slide Master" button.

Insert PowerPoint slide master via the navigation bar

5. The new slide master appears in the navigation bar below the existing slide master and is numbered (2 if one slide master already exists, 3 if there are two existing slide masters, etc.). You can then edit the new slide master in the master view as usual.

When you make changes to the PowerPoint slide master, these changes are automatically applied to all other slide layouts. However, if you make changes to a single slide layout (e.g., title slides, comparison slides, or image-only slides), only that one slide layout is modified. From then on, all new slides of that layout will be created with the changes just made.

Slide layouts: The Layout Master

The PowerPoint slide master should be understood as having two levels: the master slide and the subordinate (multiple, different) slide layouts/master layouts . These layouts can vary significantly from one another. Depending on the intended content, certain slide layouts are more suitable than others. Some are better for presenting images or graphs, while others are better suited for text-heavy content.

All layouts consist of coordinated text and/or object placeholders, which are scaled and designed appropriately for the slide's purpose. These "objects" include, for example, photos, statistics, or animations. You can fill the placeholders with content to quickly and easily create your own professionally designed PowerPoint presentation. You can customize the various layouts at any time to suit your individual needs.

PowerPoint slide master, master slide, and slide layouts

A change to the master slide will be applied to all slides in your presentation. A change to a specific slide layout will be applied to all slides of that type. Do you want tighter spacing between individual text or image boxes on all "comparison slides"?

Then you simply need to make this change in the slide layout of "Comparison Slides" in the Slide Master view. All comparison slides already included in your presentation will then be automatically adjusted to the new layout.

Tip: Master View vs. Normal View : Any changes made to layouts or the master slide in Master View cannot be altered or accidentally deleted by other users editing the presentation in Normal View . They would have to switch to Master View to make these changes. Serious careless mistakes are virtually impossible.

Rename the PowerPoint slide master

Especially if you plan to reuse some of your designs multiple times, it's helpful to save them so you can quickly find them again when needed. Here's how:

  1. Open the desired presentation in Microsoft PowerPoint.
  2. Click on the "View" tab in the navigation bar at the top.
  3. Click on "Slide Master" there. PowerPoint will then switch to Master View. In Master View, you will see it with all its associated slide layouts in the navigation bar on the left.
  4. In the navigation bar, right-click on the slide master you want to rename.
  5. In the context menu, click on "Rename Master". In the following window, enter the desired title for the slide master and then click on "Rename".
  6. Click "Close Master View" and switch to the "Home" tab. Under "Slides," click "Layout." In the expanded menu, you will see the renamed slide master in the list of designs.

Using different PowerPoint slide masters

Take advantage of different layouts within a single presentation: Can't decide which design template best suits your content or personal preferences? Then you can insert and combine multiple designs. However, this requires a corresponding number of PowerPoint slide masters . Each design template has its own slide master, including its respective slide layouts.

Step-by-step instructions for creating multiple PowerPoint slide masters:

  1. Under the "View" tab, click on the slide master to switch to master slide view mode.
  2. At the top, you'll find, among other things, the section "Edit Master", where you can click on "Insert Slide Master" .
  3. A new slide master is automatically generated below the previous one . The new slide master can be freely edited or designed using a template.

Shortcut : Within the master view, click on a new design in the "Edit Design" section. You can then directly create a new slide master in the selected design.

Edit headers and footers in the PowerPoint slide master

To ensure consistency in your presentation, it helps to format at least the headers and footers of all slides the same way . The corresponding layout formatting can be defined directly in the slide master at the beginning of your presentation.

Of course, you can make changes at any time later. To define a consistent header and footer in the slide master, follow these steps:

  1. Under the "View" tab, click on "Master View".
  2. Select the master slide from the left-hand sidebar menu.
  3. At the bottom of the screen, you'll see placeholder boxes for footer content. You can freely fill, style, and arrange these. To create a header, drag one of the boxes to the top of the screen.

Using PowerPoint Slide Master Placeholders

4. Under the "Start" tab, you can also define components such as the font, font size, or color scheme.

5. Return to the normal view by closing the master view under the "Slide Master" tab. All changes have been saved and applied automatically.

What other PowerPoint masters are there?

In addition to the slide master, PowerPoint provides two other helpful masters: the PowerPoint handout master and the PowerPoint notes master . Handouts are printed copies of your presentation that you can distribute to the audience before or after the presentation.

The handout master helps you with the content and visual design of these handouts. Just like with the slide master, changes made in the handout master are applied to all pages of the handout.

Under the "View" tab, you will find the "Handout Master" option in the master views. Here you can define the formatting, color scheme, and amount of content used on each page of the handout.

PowerPoint slide master, other PowerPoint masters

PowerPoint's Notes Master helps you organize additional information or other personal notes effectively . The notes for each presentation slide are displayed on your screen alongside the presentation during your talk. The audience, of course, remains unaware of them. This way, you appear even better prepared and more broadly knowledgeable in your field.

In PowerPoint's Notes Master, you can define the structure of your notes pages across all slides. Here, too, all changes are automatically applied to all note pages. Under the "View" tab, you'll find the "Notes Master" option, also within the master views. Once there, you can design your personal notes freely according to your preferences.

Conclusion: The PowerPoint Slide Master: Organizer, time saver, designer for your PowerPoint presentation

In a professional PowerPoint presentation, the PowerPoint slide master serves as a kind of control center. Here, you can define rules that affect the entire presentation. In addition to the slide master, PowerPoint also offers the handout master and the notes master. All three masters have subordinate slides or pages that can be centrally controlled from within.

All changes made to a master slide are automatically applied to all associated slides. The various PowerPoint master slides are the perfect tools to quickly bring professionalism and consistency to the visual and structural design of your presentation.
